How do I give all system users access to view all units?

The unit and container grid views display all units that are either owned by or in custody of the team the user belongs to. To give a user visibility into all units:

  1. Assign the user to all teams in the system.
  2. For teams where the user should not complete transactions, create a team role with no transaction or edit access.
  3. The user will then be associated with each team and able to view their units without being able to modify them.

Do I need to create an Item Master for every item unit tracked in the system?

Yes. Item Masters link directly to item templates, which define how the item is tracked. The unit description is inherited from the item master to maintain consistency throughout the system: even if you have only one unit of that item, an item master is still required.

On Create and Receive New Unit, a new item master can be set up on the fly. Tips for handling many unique items:

  • Generic item template: Set up a generic template to simplify on-the-fly item master creation for one-off items.
  • Generic item master: If you can use a generalized description, create a single generic item master for these units.
  • Unit attributes: Add attributes to capture unique information per unit. Note that all lookups use the description defined on the item master record.

Can I set up multiple facilities under the same team?

Yes. Be aware that users are assigned to a team, not a specific facility. If you define multiple facilities under one team:

  • Users assigned to that team can interact with all units in the team's custody in the same way.
  • Users still need to switch their login to the appropriate facility when completing transactions.
  • Their role permissions remain the same across all facilities under that team.
