Deploy Unit

The Deployed status is assigned through the Deploy Unit transaction or as an option within the Place In Service transaction. Use deployed status for internally owned stationary assets (equipment, furniture) or circulating assets that stay within the facility.

Unlike checked-out units, deployed units retain a physical location (facility and area) assignment while optionally having a user assigned as custodian. For example, a workstation may be deployed and assigned to an employee, or lab equipment may move between rooms assigned to specific technicians.

Deployed units can be moved, transferred, and have maintenance activities completed on them.

Finding Deployed Units

Deployed units appear in the main Item Unit Grid View. A separate grid view showing only deployed units is available under Check Out Management on the left menu. A shortcut can also be added to the main Item Unit Grid View.

Setup Requirements

  • Enable the Can Be Deployed rule on the item template.
  • Enable the Deploy Unit Transaction in the team role for users who need access.

Accessing the Transaction

  • Desktop — Open from the left menu under Check Out Management.
  • Mobile — Listed in the main menu in alphabetical order.

Transaction Fields

  • Deploy To — Optional. Select a system or community user as the custodian. If no user is selected, the custodian remains the team based on the unit's facility.
  • Handle — Required. Select the unit to deploy. The unit must be in Available status and have the deploy rule enabled.
  • Facility — Required. The unit's current facility defaults. You can change it. If no deploy-to person is selected, the facility's team becomes the custodian.
  • Deploy To Area — Optional. Assign the area location. Recommended for stationary assets. For circulating assets without an area, assign a user custodian instead.

When submitted, the unit status updates to Deployed and the deploy date is recorded.

Use the Check In transaction to return the unit to Available status. Each deploy date is recorded for history tracking.
